How to View the Apps Reports in Google Workspace

Quick and easy-to-follow guide for Google Workspace administrators

What are the Google Workspace Apps reports

  • The Apps reports show information regarding the usage of user accounts and specific core services in your domain.

Google Workspace Apps reports data availability and retention

  • The report only shows data from the last 180 days.
  • It can take from 1-3 days for new data to become available in the report.

Information you can see in the Google Workspace Apps reports

2-Step Verification enrollment - the number of users who have set up 2SV.

2-Step Verification enforcement - the number of users who have 2SV enforced.

Password length compliance - the number of users who comply (or don’t comply) with your password length policy

Password strength - the number of users who comply (or don’t comply) with your password strength policy

User account status - the number of users in the domain and their status - Active, Suspended, or Blocked. A blocked user has violated the Terms of Service, and you must contact Google Workspace Support to see if they can restore such a user.

Admin status - the number of users in your domains, by admin status.

Less secure apps access status - the number of users for which less secure apps are allowed or denied.

Storage used by apps (MB) - how much storage users use for Gmail, Drive, and Photos.

Total used storage (MB) - storage used by all users.

Inbound Email: Delivery - the number of incoming emails received from outside the domain - delivered, rerouted, and rejected.

Inbound Email: Spam - the number of incoming emails marked as spam.

Inbound Email: Encryption - the number of incoming encrypted emails.

Outbound Email: Delivery - the number of outgoing emails - delivered, rerouted, rejected.

Outbound Email: Encryption - the number of outbound TLS-encrypted emails.

Total emails - the number of all emails stored by all users.

External shares - the number of external file shares, sorted by Public (publicly available files), Anyone with the Link, or Outside Domain (shared directly with external users or groups)

Internal shares - the number of internal file shares, sorted by Private (not shared), Anyone in Domain (anyone in the domain has access), Anyone in Domain with Link or Inside Domain (shared explicitly with internal users or groups).

Files added - the number of files added by users, sorted by Docs, Sheets, Slides, Forms, Drawings, and Other.

Active users - the number of active users during a specified period

Created rooms - the total number of chat spaces created by users.

Active rooms - the total number of active chat spaces. 

Active users - the number of users that are actively using Google Chat. 

Messages posted - the number of messages posted in Google Chat by users.

Total active users - the total number of users in your domain who have used Google Voice.

Total licensed users - the total number of users with a Voice license.

Total call duration - the total number of minutes used for all Voice calls.

Total outbound calls - the total number of calls made from Voice.

Total inbound calls - the total number of incoming calls to Voice.

Total calls - the total number of all calls, both incoming and outgoing.

Total outbound messages - the total number of outgoing text messages from Voice.

Total inbound messages - the total number of incoming text messages to Voice.

Total messages - the total number of all text messages, both incoming and outgoing.

Active Users - the number of users who have used Currents within the last one, seven, and thirty days.

New Users - the number of users that used Currents for the first time.

Posts - the number of posts by users in the domain.

Collections - the number of collections owned by users in the domain.

Comments - the number of comments by users in the domain.

Communities - the number of communities owned by users in the domain.

+1s - the number of +1s users in the domain gave.

Posts Viewed - the number of posts viewed by users in the domain.

Posts Reshared - the number of posts reshared by users in the domain.

Video Hangouts - the number of video Hangouts started by users in the domain on a particular date.

Active classes - the number of classes active in the past 14 days.

Classes created - the number of all created classes.

Posts created - the number of all posts by students and teachers.

Users - the number of users who have Apps Script projects.

Projects - the number of Apps Script projects that were run by users.

Step 1

How to View Google Workspace Apps Reports - Step 1

Go to the Admin console https://admin.google.com and in the menu on the left, click Reporting > Reports > Apps Reports > then click the report you are interested in (Accounts, Gmail, etc.)

  • You can hover over a graph to see the exact numbers for a specific date.

  • You can click MANAGE REPORTS on the top right of the page to show or hide graphs.

  • You can also click the Download icon on the top right of a graph to export it to Google Sheets or a .csv file.

Now you will see a bunch of graphs showing data regarding specific things as recorded during the last 180 days.

Clicking MANAGE REPORTS opens a popup like this, which lets you add new graphs by clicking Add new column at the bottom.

You can also hide those that are being shown at the moment by clicking the X button to the right of them.

Clicking the Download icon on the top right of a graph lets you select the format to export the report to – you can choose between Google Sheets or Comma-separated values (.csv). 

We recommend choosing Google Sheets, as it’s easier to view, and you can always download it to a .csv later. Then click DOWNLOAD.

You can observe the progress under the Tasks icon in the top right of the page. If you chose the Google Sheets option, when the download is ready, click Open in Google Sheets to view it there.

When viewing a report in Google Sheets, it’s helpful to right-click row #1, then select View more row actions > Freeze up to row 1. 

This way, the header on top will freeze, allowing you to know what each column is for even when you scroll down.
