Set Up Your Google Workspace Account’s Default Retention Rules
The default retention rules have a lower priority than custom retention rules.
If you’re not familiar with holds, check this article first.
To place Google Chat data on hold, open Vault at https://vault.google.com and click Matters.
Click the matter you want to use to place the hold.

Select the HOLDS tab on top and then click Create below.
Enter a name for the hold, then select Chat and click CONTINUE.
Choose whose data you want to place on hold. If you want to apply it only to specific accounts, type their email addresses under Specific accounts, separated by commas.
If you want to include chat data in chat spaces (group chats), you can click the Include conversations in Chat spaces button so that it goes to the right and turns blue – this means it’s enabled.
If you want to apply the hold to all users in an organizational unit, click Specific accounts and select Organizational unit.
Then click the OU.
If you select your top OU, you will see this message, advising that the hold will apply to all users in your organization, and may end up retaining irrelevant data. Check the box and click ACCEPT, or CANCEL and select another OU.
Once you’ve decided who you want to apply the hold to, click CREATE.

Retention rules and holds are ways to ensure that Vault will archive Google Workspace data.
Specify if Meet video recordings and Google Sites files will be affected by your Drive retention rules.
