Requirements to configure managed iOS apps settings

  • This feature is supported for Google Workspace Business Starter, Standard, and Plus; Enterprise; Education Fundamentals, Standard, Teaching and Learning Upgrade, and Plus; G Suite Basic and Business; Essentials; Frontline.

Benefits of adding managed iOS apps

  • You add managed apps to gain full admin control on devices with a Google Workspace user account added and the Device Policy app installed. 
  • You can prevent such apps’ data from being backed up to Apple iCloud, decide which apps can be used to open Google Workspace data, and more.

To prevent users from installing unmanaged apps

  • You can configure the App installation setting to prevent your users from installing apps from the App Store. 
  • Then they can only install managed apps through the Google Device Policy app.
  • Unmanaged apps that are already installed on users’ devices won’t be removed when you enable this.
  • Whether or not you choose to enable the setting mentioned above, you can always set up a list of iOS apps that users on iOS mobile devices will be advised to install as shown below.

How to know which apps are managed

Users can review a list of managed apps in the Google Device Policy app:

  • A green checkmark means the app is managed
  • A gray checkmark means that it’s unmanaged
  • A red exclamation mark means that the user needs to accept the app as managed

In Google Admin at https://admin.google.com, click Apps > Web and mobile apps.

Click Add App.

Select Search for apps.

Look for the app by name. You can also enter an App Store URL.

Click Select to the right of the app you want to add. In this case, we’ll add Dropbox as an example.

Choose which users to add the app to. You can add it to all users or only a specific OU or Group. Click CONTINUE.

Check the option to make the app a managed one. This allows you to check Remove app when the configuration profile is removed, meaning that it will be removed when users’ Google Workspace account stops syncing to the device. Click FINISH.

After adding the app, you’ll see this screen, which allows you to update the app’s settings. You can always go back to this page later by clicking the app’s name in the list of managed apps.

There are two sections here: User access and Settings.

The User access section lets you control which Organizational Units listed on the left side of the screen have access to the app. 

For example, to prevent users in a specific OU from using a managed app, select that OU, then update this setting to OFF and click SAVE.

In the Settings section, you can update whether you want this app to be managed or not and whether you want it removed when users remove their managed configuration profile.
